COVID-19 Vaccine Ordering Updates in NYSIIS

Starting July 6, 2021, the New York State Department of Health (DOH) is revising the COVID-19 vaccine ordering process in the New York State Immunization Information System (NYSIIS). Due to sufficient supply, DOH is transitioning from weekly planning requests via the NYSIIS Manage Prebooking module to as-needed ordering via the Manage Orders module. Providers will be able to create a COVID-19 vaccine order any day of the week as often as needed. DOH has issued the attached updated instructions document with a detailed appendix explaining how orders are evaluated. Weekly orders submitted on June 28 will be processed normally.

Providers are expected to place COVID-19 vaccine orders to support approximately three weeks of inventory. DOH Vaccine Program staff will review hospital reporting, inventory, and order notes to determine if the number of doses requested is reasonable. Orders placed in NYSIIS will typically be delivered in two to four business days. Ancillary supplies will arrive separately either the day prior to or the same day as the vaccine shipment.

Please note that for providers enrolled in the Vaccines for Children (VFC) or Vaccines for Adults (VFA) program, the COVID-19 vaccines will be listed on the routine ordering screen with VFC/VFA vaccines beginning July 6. Please place any COVID-19 vaccine orders separate from routine VFC and VFA orders to ensure expedited review.

GNYHA has contacted the New York City Department of Health and Mental Hygiene about any planned updates to the New York City COVID-19 vaccine ordering process through the Citywide Immunization Registry. GNYHA will share any additional information on this as it becomes available.
